What We Collect
We collect only the information needed to provide and improve the Ignia platform.
Account Information
Information required to create or manage an account, such as name, email address, clinic affiliation, and role.
Clinical and Health Information
Clinicians and authorized staff may enter client information including demographics, intake forms, consent forms, clinical notes, treatment plans, and session-related data.
Minors cannot create accounts, but authorized clinicians or guardians may enter information about children or youth receiving care.
Financial Information
If you use Ignia’s billing or payments features, we may process invoices, transactions, payouts, and bookkeeping data. Payment information is handled through secure, PCI-compliant providers.
Usage and Security Data
We collect device information, IP address, security logs, and platform usage data to maintain reliability and protect against fraud or unauthorized access.
Website Analytics Data
On our public website, and only when analytics is allowed, we may collect privacy-limited analytics data such as page path, device and browser information, approximate location, referral source, campaign parameters, and website interaction events.

Any information you choose to share with us when requesting help, troubleshooting, or submitting feedback.
How We Use Your Information
Ignia does not sell personal information.
Clinical content is never used to train AI models.
We use collected information to:
- Deliver and improve Ignia
- Support clinical workflows and billing operations
- Maintain account and platform security
- Meet legal and regulatory obligations
- Communicate important updates
Website Analytics
We use privacy-limited analytics tools, including Google Tag Manager and Google Analytics, to understand how visitors use our public website, which pages and campaigns are working, and whether visitors complete actions such as contacting us.
We do not send contact form identity fields, message contents, clinic names, clinical information, or health information to Google Analytics.
You can limit analytics cookies through your browser settings, and you can contact us at privacy@getignia.com if you have questions about website analytics or privacy choices.
Communication and SMS
Ignia may send essential service-related messages such as appointment reminders, verification codes, and security alerts via email or SMS. Message and data rates may apply depending on your carrier.
You may opt out of non-essential SMS messages at any time by replying STOP. Transactional or security-related messages may still be sent where permitted.
Clinics are responsible for obtaining client consent before enabling SMS reminders or notifications.
How We Protect Your Data
Ignia follows industry-leading security frameworks, including controls aligned with SOC 2, ISO/IEC 27001, PIPEDA, and applicable U.S. state privacy regulations.
Our safeguards include:
- Encryption in transit and at rest
- Role-based access control and multi-factor authentication
- Continuous monitoring and audit logging
- Secure vendor and sub-processor management
- Clinic-level data isolation
All AI features are encrypted and processed securely.
Children’s Privacy
Ignia supports clinics that provide care to children and youth. While minors cannot create Ignia accounts, clinicians or guardians may enter information about minor clients as part of treatment. Clinics are responsible for obtaining appropriate parental or guardian consent before storing minor information.
Data Sharing
We share information only with trusted service providers who support our platform for hosting, secure payment processing, communications, website analytics, or encrypted AI processing. All partners are bound by strict security and confidentiality obligations.
We may disclose information when required by law.
We do not sell or rent personal information.
Your Rights
Depending on your location, you may have rights to access, correct, or request deletion of your information, subject to legal requirements. We will help route requests appropriately between you and your clinic.
International Data Storage
Ignia may store or process information in the United States or Canada using secure, compliant infrastructure. Appropriate safeguards apply to all cross-border transfers.
